New Feature: Student and mentor nudges

Hello. Over the next few days we’ll be rolling out nudges for mentoring. The aim of this is to encourage discussions to continue in a timely manner and not leave mentors with hundreds of abandoned discussions for which they cannot receive reputation etc. This has been discussed in previous posts and on community calls.

The functionality is as follows:

  • Nudges are sent to students and mentors if they have not responded to a discussion for a number of days.
  • Three nudges are sent at 7, 14 and 21 days.
  • At 28 days the conversation is automatically timed out, which puts it in pretty much the same state as a discussion finished by both a mentor and student. Both the student and mentor receive a notification + email.
  • For (only) the next 7 days, a rating+testimonial can still be left by the student.
  • After 7 days a mentor discussion is “finalised” and ratings/testimonials cannot be left.
  • At any stage afterwards, students and mentors can still post extra comments as has always been the case.

Along with this:

  • Mentor’s “number of discussions completed” and “number of students mentored” are only based on finalised discussions (either those a student has marked as completed, or 7 days after a mentor marks them as completed).

Over the weekend:

  • I will batch-close all discussions older than 28 days (without sending notifications/emails).
  • We will start sending automated notifications for things within 1 day of their actual point. (e.g. we’ll send the 21 day notification to discussions that are 21-22 days unresponded).

OK - data migration details/status:

  • :white_check_mark: All iHiD’s discussions from v2 that are still open → Closed with no notifications.
  • :white_check_mark: All 28,398 discussions from v2 that are still open → Closed with no notifications.
  • :white_check_mark: All iHiD’s discussions from from v3 that are still open and are awaiting students → Closed with notifications sent to students.
  • :white_check_mark: All discussions from v3 that are still open and are awaiting students for >28 days → closed with notifications sent to students.
  • :white_check_mark: All discussions from v3 that are still open and are awaiting mentors for >28 days → closed with notifications sent to students and mentors (max 5 notifications to either mentor or student)
  • :white_check_mark: Nudges → enabled
  • :white_check_mark: Daily “Convert timed out to closed job” → enabled (which will award reputation 7 days from now)

This is all done. As a mentor or student, you may have received up to 5 notifications, but there may be more discussions that were closed.

One thing for mentors to understand is that there will be a descrepency between the number of discussions in the finished tab (bigger) and the number of discussions finished at the top of the page (smaller).

The number at the top of the page refers to discussions where a student has finished the discussion, rated you, and potentially left a testimonial. This automatically times out after 7 days (at which point you get a nil rating, which doesn’t affect your overall score, and reputation is awarded).

Perhaps this has been caught, but the email in the nudge has a mistake: the mentor and the mentee have the same name. In this screenshot, for example, the mentor should be @MatthijsBlom. Did you get an email with my name?

Will be fixed in Fix mentor name in student nudge mail by ErikSchierboom · Pull Request #6287 · exercism/website · GitHub

For me, both numbers are the same (completed and finished discussions).

Around a forty discussions were auto-closed in the past few days, so perhaps there is an issue here.
